Meet the TBE Team

The  officers  of The Bougie Experience  Club shall  be  President,  Vice-President, Secretary, and Security.

President

The first major role of the president is leading the annual planning of the club (consistent with the views of members), help the committee prioritize its goals and then try to keep the committee on track by working within that overall plan. Club and committee members should have a sense of what they are trying to achieve and a plan developed for this purpose is essential.  The president leads this process.

The second major role of the president is to facilitate effective management of club/committee meetings.

To do this effectively the president/chairperson should:

  • Be well informed of all the club’s activities

  • Be knowledgeable of the future directions and plans of members

  • Foster a strong working relationship with local government, affiliated associations, Jeep Clubs and other Clubs.

  • Have a good working knowledge of the club rules and the duties of all office bearers and sub-committees

  • Manage (chair) committee and/or executive meetings

  • Manage (chair) the annual general meeting

  • Represent the club at local, regional, and state level

  • Be a supportive leader for all club members

  • Act as a facilitator for club activities

  • Most importantly – ensure the planning and budgeting for the future is carried out in accordance with the wishes of the members.

  • Completing any tasks as delegated by the President

  • Helping to strengthen the relationship between the committee and members, and inspiring and encouraging them to achieve the club/society's agreed goals

  • Representing the club/society to other groups and external organizations

  • Completing any necessary paperwork

Executive Administrator

Administrators help to keep an organization running smoothly, taking care of the administrative and organizational tasks that make the organization function. The job title ‘administrator’ and ‘secretary’ can be used interchangeably to describe the same role, or ‘secretary’ can be another, more old-fashioned name for a personal assistant or executive assistant. Read our other job description to learn about personal assistant skills and how the role differs from that of a secretary.

Typical responsibilities of the job include:

  • answering calls, taking messages and handling correspondence

  • maintaining diaries and arranging appointments

  • typing, preparing and collating reports

  • filing

  • organizing and servicing meetings (producing agendas and taking minutes)

  • managing databases

  • prioritizing workloads

  • implementing new procedures and administrative systems

  • liaising with relevant organizations and clients

  • coordinating mail-shots and similar publicity tasks

  • logging or processing bills or expenses

  • acting as a receptionist and/or meeting and greeting clients

Executive Administrator

The four basic layers of physical security are design, control, detection, and identification. For each of these layers, there are different options that can be utilized for security. Physical security design refers to any structure that can be built or installed to deter, impede, or stop an attack from occurring.

  • Security is designed for TBE protection when attending events, especially during the night. This was designed so all members and no members are safe.

  • Security is to control situations when there’s confrontation of any kind at all TBE events.

  • Security is to detect all occurrences when attending TBE events.

  • Security is to Identify the issue and call law enforcement for any violated situation when attending TBE events.

How decisions are made

The president has the responsibility to determine what decision-making process should be used. Keeping these simple and easy to understand is ideal, however they must align with the club’s rules. Because of the nature of the position, there is often the need for the chairperson to make informed decisions. The most difficult part of making a decision is the possibility of making the wrong one. To avoid making a wrong decision or not making one at all, as the president you must adhere to the following:

  • Be decisive

  • Listen to all involved

  • Explore all alternatives and encourage input from all committee members

  • Do not become emotive and/or use emotive or inflammatory language when dealing with issues

  • Decide on small matters promptly

  • Make decisions with firmness

  • Act upon the chosen decision

  • Is the decision aligned to the club’s purpose and long term plan?

  • What are the implications of the decision (financial, legal, etc.)
